Sixty days before departure is our minimum, and shorter timelines are sometimes possible depending on what you are after. But sixty days is the floor, not the target. Groups that start six to twelve months out get better dates, better hotels, and a far calmer planning process.
The difference is not that a rushed trip is a worse trip. It is that a rushed trip gives you fewer choices. Availability, not effort, is what runs out.
Why earlier is better
Three things get harder as departure approaches.
Hotel availability. Hotel space is not confirmed until the time of your group deposit. During planning your Travel Consultant quotes an itinerary that includes a hotel, and you can request a specific property for us to quote. The earlier you commit, the more likely that property is still holding space for a group your size — and groups need blocks of rooms, not one or two.
Attraction scheduling. Some of the experiences that make a trip worth taking are booked well ahead. A staff-led tour of the Capitol Building, a guided walk of Arlington National Cemetery, a Broadway workshop — these have limited slots. Late planning does not mean you lose the destination; it means you may lose the specific thing you wanted your students to do there.
Your own approvals. This one is usually underestimated. School board approval, district paperwork, parent meetings and fundraising all take time that has nothing to do with us. If your funding depends on fundraising, that alone argues for a year.
A realistic planning timeline
12 to 9 months out — decide and quote
Choose a destination and a rough window. Contact us for a quote. Because planning is free until you agree to proceed, this costs you nothing and gives you a real number to take to your administration and your families. Bring what you have: dates, destination, and a rough passenger breakdown of students, teachers and chaperones.
9 to 6 months out — approve and commit
Secure school approval with a real itinerary and a real price in hand. Once you commit, your Travel Consultant sends a personalized trip agreement confirming terms and the payment schedule. After that is signed we set up your group's portal and share registration instructions for your travelers.
6 to 3 months out — register and fundraise
Travelers create their portal accounts, register, and begin paying. This is also when dietary restrictions and allergies get recorded, which we collect before departure and pass to the restaurants on your itinerary. If you are fundraising, this is the working window.
3 to 1 months out — confirm details
Final numbers firm up. You submit your rooming list and decide who rooms together. By default we place students in quads and adult chaperones in singles, though you can arrange it differently. We do our best to keep a group on the same floor or wing, subject to the hotel's layout.
Final weeks — brief and pack
Confirm meeting points and times, brief chaperones, and get the packing list to families. Weather is the one thing nobody controls, so layers, comfortable walking shoes, and an umbrella are always the right call.
What if you have less time than that?
Ask anyway. Sixty days before departure is our stated minimum and we can often work with less depending on the destination, the group size, and how flexible you can be on dates and hotels. What a short timeline costs you is choice — you may be quoted a hotel further from the center, or a different attraction on a different day. A trip that happens on a compressed schedule is still worth taking.
The one thing that genuinely cannot be compressed is international documentation. Every traveler needs a valid passport for air travel, and passport processing is outside anyone's control. For Japan, Costa Rica, Norway or any other international destination, start considerably earlier than you would domestically.
